EasyBorder ("we", "us", or "our") is committed to protecting your privacy. This Privacy Policy describes how we collect, use, and safeguard information when you use our mobile application (the "App") and related services (collectively, the "Services"). By using the Services, you consent to the practices described in this Privacy Policy.

This Privacy Policy forms part of our Terms of Service.

1. Our Privacy-First Design

EasyBorder is designed with your privacy as a core principle:

  • Your immigration form answers are stored locally on your device, encrypted with SQLCipher
  • We do not require account creation, passwords, or email addresses to use the App
  • We do not store your form answers on our servers
  • PDF generation occurs in-memory on our server and completed forms are returned directly to your device — they are never saved or persisted server-side
  • The answer-sharing (pairing) feature uses end-to-end encryption — our server never sees your plaintext answers

2. Data Stored on Your Device

The following data is stored locally on your device and is not transmitted to our servers except as described in this policy:

  • Form answers: Your responses to immigration form questionnaires, stored in an encrypted local database
  • Application state: Your current progress in form wizards, preferences (theme, language), and cached form schemas
  • Device credentials: A randomly generated device identifier and authentication token used to communicate with our server

You are responsible for maintaining the security of your device. If you delete the App, your locally stored data will be permanently removed.

3. Data We Collect

3.1 Device Authentication

When you first use the App, a random device identifier is generated. This identifier is used solely for rate limiting and abuse prevention. We do not link this identifier to your personal identity. Authentication uses a proof-of-work challenge — no passwords or personal information are required.

3.2 Analytics and Crash Reporting

We use Firebase Analytics and Firebase Crashlytics (provided by Google) to understand how the App is used and to diagnose technical issues. These services may collect:

  • Device type, operating system, and app version
  • Screen views and feature usage patterns (e.g., which screens are visited)
  • Crash logs and error reports
  • General location data (country/region level, derived from IP address)

This data is collected in aggregate and is not linked to your immigration form answers. For more information, see Firebase Privacy Information and Google's Privacy Policy.

3.3 PDF Generation

When you generate a completed PDF form, your form answers are transmitted to our server over an encrypted (HTTPS) connection. The server uses these answers to fill the PDF template in-memory and returns the completed PDF to your device. Your answers and the generated PDF are not stored, logged, or retained on our server.

3.4 Schema and Translation Downloads

The App downloads form schemas (question definitions and field mappings) and translation bundles from our server. These downloads do not contain your personal information. Our server logs may record your IP address and the schema or translation requested for operational purposes.

3.5 Website

Our website at easyborder.app uses Google Analytics to collect standard website usage data, including pages visited, referral sources, and browser type. This data helps us understand how visitors find and use our website. Our website uses cookies for analytics purposes. You can control cookies through your browser settings.

4. Answer Sharing (Pairing Feature)

EasyBorder offers an optional pairing feature that allows two users (e.g., a petitioner and beneficiary) to share form answers securely:

  • A filing phrase (word list) is generated on the initiating device
  • The phrase is used to derive an encryption key — this key never leaves your device and is never transmitted to our server
  • Answers are encrypted on the sender's device before upload and can only be decrypted by someone who knows the filing phrase
  • Our server stores only encrypted ciphertext with a time-limited expiration (3 days by default, 7 days maximum), after which it is automatically deleted
  • We have no ability to read, decrypt, or access the shared answers

5. How We Use Your Data

We use the limited data we collect to:

  • Provide and operate the Services, including PDF form generation
  • Prevent abuse and enforce rate limits via device authentication
  • Diagnose and fix technical issues via crash reports
  • Understand usage patterns to improve the App
  • Ensure the App functions correctly across devices and operating systems

6. Data Sharing and Disclosure

We do not sell, rent, or trade your personal information to third parties.

We may share limited data with the following parties:

  • Google/Firebase: Analytics and crash reporting data as described in Section 3.2
  • Apple/Google: Standard platform data collected through the App Store or Google Play in connection with app distribution and in-app purchases

We may also disclose information if required to:

  • Comply with applicable laws, legal processes, or government requests
  • Protect the rights, safety, or property of EasyBorder, our users, or the public
  • Enforce our Terms of Service
  • Detect, prevent, or address fraud, security, or technical issues

In the event of a merger, acquisition, or sale of assets, any data we hold would be transferred to the successor entity. We will notify users of any such change by updating this Privacy Policy.

7. Data Retention

  • On-device data: Retained until you delete the App or clear its data
  • Paired/shared answers: Encrypted ciphertext is automatically deleted from our server after the expiration period (3–7 days)
  • Analytics data: Retained by Firebase according to Google's data retention policies
  • Server logs: Retained for a limited period for operational and security purposes, then deleted

8. Data Security

We take the security of your data seriously and implement the following measures:

  • Local database encryption using SQLCipher, with encryption keys derived from your device's platform keystore
  • End-to-end encryption for the pairing feature using AES-256-GCM with keys derived via Argon2id
  • All communications between the App and our server use HTTPS (TLS encryption)
  • Our server does not persist form answers or generated PDFs

No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

9. Children's Privacy

The Services are not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take steps to delete that information promptly. Parents or legal guardians may use the Services on behalf of their children; information provided while doing so will be treated as described in this Privacy Policy.

10. Your Choices

  • Delete your data: You can delete all locally stored data by deleting the App from your device
  • Analytics opt-out: You can limit analytics collection through your device's privacy settings (e.g., "Limit Ad Tracking" on iOS or "Opt out of Ads Personalization" on Android)
  • Cookies: You can control website cookies through your browser settings. Disabling cookies may affect website functionality

11. International Users

Our server is located in the United States. If you use the Services from outside the United States, your data (limited to the information described in this policy) will be transmitted to and processed in the United States. By using the Services, you consent to this transfer and processing.

12. Not Legal Advice

EasyBorder is not a law firm or lawyer referral service. The Services and information provided are not legal advice and do not substitute for advice from a licensed immigration attorney. EasyBorder is not affiliated with USCIS or any government agency.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date at the top of this page. We encourage you to review this Privacy Policy periodically. Your continued use of the Services after changes are posted constitutes acceptance of the updated policy.
